Cancellation and Failure to Attend Policy

This policy and relevant procedures will be reviewed annually and are due for review on 09/07/2026 or before this date, following any mandatory or legislative changes.

At Woodborough House Dental Practice, we are committed to providing the highest standard of care and ensuring all patients have fair access to our services. To manage our appointments effectively, the following cancellation and failure to attend policy applies:

Appointment Cancellations

If you need to reschedule or cancel your appointment, we require at least 2 business days’ notice. This ensures we can offer your appointment slot to another patient in need. For appointments scheduled on a Monday morning, notice of cancellation must be given by the preceding Thursday during our business hours. Cancellations or changes made with less than 48 hours’ notice may be subject to a fee.

Failure to Attend

Missing an appointment without prior notice disrupts our schedule and prevents other patients from receiving timely care. Failure to attend an appointment may result in a fee being charged and could affect your ability to book future appointments.

Fee Structure

Appointments up to 1 hour**: £120 fee for late cancellations or failure to attend.

Appointments up to 2 hours**: £240 fee for late cancellations or failure to attend.

Appointments up to 3 hours **: £360 fee for late cancellations or failure to attend.

Appointments 3 hours or longer **: 50% of the treatment fee for late cancellations or failure to attend.

Repeated Instances

Patients who repeatedly cancel at short notice or fail to attend their appointments may be required to pre-pay for future bookings or risk being removed from our patient list.

We know your time is valuable, and ours is too. Out of respect for our staff and our other patients, we ask that you take this into consideration when cancelling appointments.
